Executive Assistant III

Location : On-site at the Customer's headquarters in Washington, DC.

Clearance/Screening Requirements : SECRET personnel security clearance issued by the Defense Counterintelligence and Security Agency (DCSA), required prior to contract performance.

Position Summary:

PBG is seeking an experienced Executive Assistant to provide comprehensive administrative support to the executive team of our Customer, a Federal agency, on a headquarters professional support services program. This key position handles calendar management, travel arrangements, meeting coordination, and correspondence, and ensures administrative tasks meet task quality standards. The program provides approximately two hundred (200) professional support personnel across the Customer's nine (9) headquarters offices in the Greater Washington, DC region, with growth expected over the life of the contract. The Executive Assistant maintains and organizes executive documents, assists in coordinating and managing executive projects, and serves as a key point of contact between executives and internal and external stakeholders. The role consults frequently with onsite Government management.

Key Responsibilities:

The Executive Assistant shall be responsible for the following:

- Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, meeting coordination, and correspondence handling.

- Ensure administrative tasks meet task quality standards.

- Maintain and organize executive documents, ensuring accuracy, confidentiality, and compliance with internal policies.

- Assist in coordinating and managing executive projects, ensuring timely completion and alignment with task goals.

- Serve as a key point of contact between executives and internal and external stakeholders, ensuring effective and efficient communication.

- Plan and coordinate executive meetings, conferences, and events, including logistics , agendas, and follow-up activities.

- Identify opportunities for process improvement and implement changes to enhance administrative efficiency and effectiveness.

- Consult frequently with onsite Government management on operations and execution results in planning and delivery.

- Prepare written communication in accordance with the Customer's writing guide, free of typos, grammar discrepancies, and formatting flaws.

Minimum Qualifications:

- Nine (9) years of experience.

- Proficiency using standard Microsoft Office software, including Outlook, Teams, Word, PowerPoint, Excel, Project, Visio, and Power BI.

- Bachelor's degree, or thirteen (13) years of experience.

- SECRET personnel security clearance issued by the Defense Counterintelligence and Security Agency (DCSA), required prior to contract performance.
