The Project: Accountable for the planning function on allocated projects/tenders, ensuring that they are effectively planned, scheduled, and monitored. Supports the Project Management function in the delivery of the project/tender, as required, ensuring they are delivered on time and profitably. Responsible for the planning of medium to high-complexity projects, a portfolio of projects, or sections of larger projects.
You’ll be responsible for:
- Maintaining integrated portfolio plans across workplace, retail, corporate real estate, facilities management and capital project programmes.
- Developing and maintaining rolling portfolio plans, resource forecasts, demand forecasts and capacity models.
- Consolidating portfolio information from Facilities Management, Operations, Procurement, Real Estate and Project Delivery teams into a single planning framework.
- Producing portfolio analytics, dashboards, forecasting models and management information to support decision-making.
- Identifying resource constraints, capacity bottlenecks, operational conflicts and portfolio dependencies.
- Supporting portfolio prioritisation exercises through data analysis, forecasting and scenario planning.
- Coordinating planning inputs from multiple business functions to ensure alignment of activities and priorities.
- Supporting the development of procurement, resource and delivery forecasts to improve portfolio planning visibility.
- Producing capacity utilisation reports, planning heat maps, look-ahead reports and portfolio performance metrics.
- Supporting planning forums, capacity reviews, portfolio meetings and stakeholder workshops.
- Driving continuous improvement in planning processes, reporting tools and portfolio analytics.
- Undertaking tasks required to fulfil the requirements of the project, programme or portfolio assignment.
- Coordinating activities across stakeholders and supporting the effective operation of the integrated planning function.
- Working collaboratively towards the common goal of net zero carbon transition and sharing responsibility for the proactive identification and management of carbon emissions and reduction opportunities during the delivery of work.
You’ll need to have:
- Relevant degree in the built environment, real estate, facilities management, business management, engineering or equivalent experience.
- Working towards a relevant professional qualification such as APM, PMI, CIOB, RICS or equivalent.
- Experience supporting workplace, retail, corporate real estate, facilities management or capital project portfolios.
- Strong analytical and reporting capabilities, with experience handling portfolio-level data and reporting.
- Experience developing forecasts, dashboards, resource plans and portfolio performance reports.
- Proficiency in planning, reporting, business intelligence and portfolio management tools.
- Understanding of facilities management, workplace operations, real estate lifecycle management and capital project delivery processes.
- Strong communication and stakeholder management skills, with the ability to present analysis and recommendations to a wide range of audiences.
- Ability to analyse complex datasets and translate findings into actionable insights.
- Strong organisational, problem-solving and decision-making skills.
- Ability to challenge constructively, influence outcomes and build effective working relationships across multiple functions.
- Experience operating within multi-site retail, workplace, corporate real estate or facilities management environments is highly desirable.
