About this role
Role Objective:
The Stores Controller is responsible for the effective
control, receipt, storage, preservation, issuance, and movement of tools,
equipment, aircraft materials, components, spare parts, and associated supplies
within the Technical Stores. The role ensures that materials are accurately
recorded, properly identified, stored, and readily available to support
scheduled and unscheduled maintenance activities and operational requirements.
The Stores Controller is also responsible for maintaining inventory and tool-control
accuracy, ensuring compliance with approved storage and handling procedures,
and supporting the timely availability of serviceable materials while
maintaining full compliance with applicable aviation regulations, company
procedures, quality standards, and safety requirements.
Duties and Responsibilities:
- Receive, inspect, identify, and process incoming aircraft
parts, materials, components, and supplies in accordance with approved
procedures and applicable documentation requirements.
- Ensure all materials received are accurately recorded in the
inventory management system, including part numbers, serial numbers, batch
numbers, quantities, shelf-life information, and applicable certification or
traceability documentation.

- Ensure serviceable, unserviceable, quarantine, rejected, and
other controlled materials are properly identified, segregated, and stored to
prevent unauthorized use or issue.
- Issue and deliver aircraft materials, components, tools, and
consumables to Maintenance and other authorized users against approved
requests, work orders, pick slip, or other authorized documentation.
- Monitor and control the movement of materials within and
between Stores locations, ensuring all transactions are accurately recorded and
fully traceable.
- Maintain and administer an effective Tool Control Program,
with particular emphasis on the control and accountability of toolboxes,
ensuring all tools are properly identified, recorded, issued, returned, and
accounted for at all times.
- Ensure toolbox contents are controlled against approved tool
inventories or tool lists and conduct regular checks to verify that all tools
are present, serviceable, and correctly accounted for before and after
maintenance activities.
- Establish and maintain effective procedures to prevent tools
from being misplaced, lost, or inadvertently left behind on an aircraft
following maintenance activities. Any missing tool shall be immediately
identified, reported, investigated, and escalated in accordance with approved
safety and maintenance procedures.
- Coordinate with Maintenance personnel to ensure toolbox and
tool accountability checks are completed before aircraft release or completion
of applicable maintenance tasks, supporting the prevention of FOD and
tool-related incidents.
- Maintain accurate records of tool issuance, returns,
transfers, missing tools, damaged tools, and toolbox discrepancies, ensuring
full traceability and accountability.
- Conduct periodic tool and toolbox audits, spot checks, and
physical inventories to verify compliance with the Tool Control Program and
identify discrepancies or opportunities for improvement.
- Maintain accurate inventory records and conduct regular
cycle counts, stock checks, and physical inventory activities. Investigate and
report discrepancies and support timely corrective actions.
- Monitor shelf-life, expiry dates, storage conditions, and
preservation requirements for applicable materials and initiate appropriate
action to prevent deterioration, expiry, or loss of usability.
- Coordinate with Maintenance, Material Planning, Procurement,
Quality, Engineering, and other relevant departments to resolve material
availability issues, inventory discrepancies, documentation deficiencies, and
other Stores-related matters.
- Support the timely identification and escalation of critical
material shortages, urgent/AOG requirements, discrepancies, and delays that may
affect maintenance activities or aircraft operational readiness.
- Ensure that aircraft parts and materials are handled,
packaged, preserved, and transported in accordance with manufacturer
requirements, applicable regulations, and company procedures.
- Verify and maintain the required documentation and
traceability records for aircraft materials, including authorized release
certificates, certificates of conformity, delivery documentation, and other
applicable records.
- Support the identification, control, and management of
excess, surplus, slow-moving, non-moving, obsolete, and scrap materials in
accordance with approved company procedures.
- Ensure proper control and timely processing of returned
materials, including serviceable returns, unused materials, unserviceable
components, and items removed from aircraft or maintenance activities.
- Support the quarantine and investigation process for
materials with suspected defects, discrepancies, damaged packaging, incorrect
documentation, or other non-conformities, ensuring such items are appropriately
controlled until disposition.
- Maintain good housekeeping, organization, security, and
safety standards within all Stores areas and ensure materials are stored in a
manner that prevents damage, contamination, deterioration, or unauthorized
access.
- Operate and use Stores equipment, material handling
equipment, and inventory management systems safely and in accordance with
approved procedures and training requirements.
- Assist in the preparation of Stores reports and supply chain
performance data, including inventory accuracy, shortages, discrepancies,
transaction backlogs, AOG requirements, shelf-life control, and other relevant
KPIs.
- Participate in internal and external audits, inspections,
stock checks, and regulatory or quality assessments, providing required records
and supporting the implementation of corrective actions.
- Identify opportunities for improvement in Stores processes,
inventory accuracy, material handling, storage efficiency, and service levels,
and participate in continuous improvement and cost-reduction initiatives.
- Ensure all Stores activities comply with applicable aviation
regulations, company policies and procedures, quality standards, safety
requirements, and approved material handling and inventory control practices.
Requirements
- Diploma/High school certificate with 3+ years of experience
in Materials & Stores.
- Relevant aviation, logistics, warehouse, or inventory
management qualifications and professional certifications will be considered an
advantage.
- Training or certification in aircraft materials, stores
management, tool control, or aviation safety is preferred.
